How to Organize a Corporate Retreat in Poland for an International Team

Ruciane-Nida, Masuria (Masurian Lakes), Poland
2 days
  • Accommodation in cabins + full catering
  • Kayaking trip
  • Guided tour — Wolf's Lair
  • Barbecue dinner + evening party (open bar)
  • Drumming workshop

A case study of a 2-day team offsite in Masuria (Ruciane-Nida) for a company from Lithuania — kayaking, Wolf's Lair and full end-to-end logistics.

Challenge

A construction-sector company from Lithuania came to Fabryka Atrakcji to reward their team with a corporate retreat abroad — just across the border, in Poland's Masurian Lakes region. The brief sounded simple but carried a few layers of difficulty:

  • A foreign team, unfamiliar ground. The group was travelling in from Lithuania, so everything — accommodation, catering, program, transport to activities — had to work flawlessly, without the client having to arrange a single thing on site.
  • Real bonding, not forced games. A tight-knit, technical team doesn't need artificial exercises. It needs a program that brings people together naturally — through shared experience, time outdoors and genuine fun.
  • The right balance of content and breathing room. The client wanted a program rich in activities, yet with enough space to relax, talk and connect at their own pace.

The key outcome expected: a team that comes home rested, closer to each other, and with the feeling that the company had truly taken care of them.

Solution

We proposed a 2-day corporate retreat in the heart of Masuria, in Ruciane-Nida — based in comfortable cabins, with a program built around nature, water activities and one strong historical highlight.

We handled everything: the venue, catering, program, activities, guide, logistics and on-site coordination. The client had one point of contact and one invoice — we took care of the rest. That is the essence of our turnkey model: the person responsible for the trip doesn't have to juggle suppliers, chase the schedule or put out fires. That's what our coordinator is for — present throughout the entire trip.

How the program worked in practice:

  • A kayaking trip with our own Kayak Bingo. Instead of an ordinary paddle, we prepared a dedicated mechanic: participants received bingo cards and, while on the water, searched the route for specific images and landscape features — turning the activity into a shared task rather than just a ride.
  • An evening to remember. A barbecue dinner, an open bar and an evening party with music — timed with care, so the night was a success and the next morning still manageable.
  • Wolf's Lair with a guide. On day two we took the group to Adolf Hitler's former wartime headquarters ("Wolfsschanze") — a guided visit with a licensed guide that turned out to be a fascinating and powerful way to close the trip.
  • A drumming workshop and free time. The program was rounded out with a music workshop and — by deliberate design — real space in the schedule to rest and bond at everyone's own pace.

It was all held together by one person: the Fabryka Atrakcji coordinator, on site across both days, watching over the schedule, the suppliers and the atmosphere.

Results

The best proof of the trip's success is the detailed feedback we received after the event from the client's decision-maker — the person who organized the trip on the company's side. This is our standard measurement mechanism: after every project we collect structured feedback from the person responsible for the event.

That evaluation surfaced three things that confirmed the client's goals were met:

  • A sense of being fully taken care of, with one person clearly in charge. The organizer stressed that what impressed her most wasn't even the (flawless) logistics, but the care and presence throughout the event itself — it was clear who was leading the trip and whom to turn to. That's exactly the effect a single turnkey coordinator is designed to deliver.
  • A perfectly balanced program. The agenda was described as well-balanced: packed with valuable content, yet leaving enough room to unwind, connect and enjoy. The built-in free time was singled out as a real plus.
  • Genuine team bonding. The highlight was the evening — the organizer noted it was the first time she'd seen the whole team enjoying themselves together like that. Poland's nature made a strong impression on everyone, and the atmosphere of the whole trip, as she summed it up, was simply wonderful.

This project shows how a well-run corporate retreat in Masuria — with one coordinator, a thoughtful program and full logistical support — can turn a two-day trip into an experience a team remembers for a long time.

FAQ

Can you organize a corporate retreat in Poland for a team based abroad?

Yes. We take over the full logistics — accommodation, catering, program, guides and transport to activities — so a company from outside Poland doesn't have to arrange anything on the ground. One coordinator runs the whole trip and you receive a single invoice.

How far is Masuria from the border, and is it easy to reach for foreign teams?

Masuria (the Masurian Lakes region) sits in north-eastern Poland, within comfortable driving distance of the Lithuanian and Kaliningrad borders, which makes it a natural retreat destination for teams travelling in from the Baltic region. We handle transport logistics to and between activities.

What can a team do on a corporate retreat in the Masurian Lakes?

The region offers kayaking and water activities, lakeside nature and open space for outdoor programs. Nearby you'll also find Wolf's Lair — a former WWII headquarters and one of the region's best-known historical sites, best visited with a licensed guide.

Why choose a turnkey retreat instead of arranging it yourself?

With a turnkey model you get one point of contact and one invoice instead of coordinating the venue, catering, activities and guides separately. A Fabryka Atrakcji coordinator is responsible for the schedule, the suppliers and the flow of the whole event, on site the entire time.
